A new platform is not a project you carry alone

Most companies stay with a system longer than they would like. Not because it is good, but because switching sounds like work: exporting data, mapping fields, rescuing consents, retraining a team, and nothing may fall behind in the meantime.

1. Your data comes along, complete

A switch is rarely about addresses. It is about everything attached to them. That is why we do not just take over contacts, but their history:

  • Contacts and companies with every field your business needs. Missing fields are created before anything is imported.
  • Consents with date and source, opt-outs and unsubscribes, so the first send in the new system is as legally sound as the last one in the old.
  • Purchase history, bookings and tickets, so audiences and personalisation have knowledge from day one instead of an empty list.
  • Points per topic, if you bring them, straight in the import.

The import maps every column to a field, runs in the background for large databases and at the end shows not just “done” but every row that did not go through, with its row number and the reason. We merge duplicates without losing history or consents.

And where a system keeps running, we do not export once, we connect it: CRM systems such as Salesforce, HubSpot, Microsoft Dynamics, Pipedrive or Zoho, ticketing such as Ticketcorner, Smeetz or SeeTickets, shops such as WooCommerce, ERP and business systems via the API. The data then stays current by itself.

2. Training that is fun

A system is only introduced once your team likes using it. That is why we do not train features but your processes: on your data, with your segments, for your campaigns.

3. Guides right inside the system

What was shown in training is half forgotten two weeks later. That is why the training also lives in the system itself.

  • Guided walkthroughs on the real interface. More than twenty guides take you step by step through typical tasks: the first email, the first segment, the first campaign. A guide only moves on once the step is really done.
  • Your progress stays visible: new, in progress, completed.
  • Questions in the middle of a step. Anyone who gets stuck asks right in the guide, and the AI assistant answers for exactly that step.
  • Guides for your own processes. Where it pays off, we build guides only your team sees, for example for your guest information before an event.
  • Product documentation with instant search, and the AI assistant answers questions from it in the “Help” tab.

4. Your own handbook in the system

Every company has its own way of working with contacts. How do we maintain contacts? Which segments and campaigns do we use for what? Who is responsible for what? Usually this is written down nowhere, or in a document nobody can find.

In Caymland M4 it is in the system: Internal Guidelines, your team’s handbook.

  • Your terms, not ours. The chapters name your segments, your campaigns, your responsibilities. Not general product help, but your reference.
  • We pre-fill it, and your team adds to and maintains it afterwards, in a simple editor.
  • From a chapter straight into the guide. Guide cards start the right walkthrough exactly where it is needed.
  • Every change is versioned and can be restored. The whole team can read, and those with permission can write.

New colleagues no longer read their predecessor’s notes. They read the handbook.
